Public Heath Policy Notice

In the event of a public health emergency, NCEMSF will follow guidance from the CDC and local health authorities in effect at the time of the Conference. Because it is impossible to predict in advance what this guidance may be (or if such guidance will be in place), NCEMSF cannot provide specifics on our public health mitigation measures. As such, we reserve the right to implement one or more of the following mitigation measures should the CDC guidance recommend such measures:

• Mask-wearing
• Proof of vaccination
• On-site testing
• Restrictions on capacity of lectures and/or hotel rooms

NCEMSF will do its best to communicate any public health mitigation measures to all registered and prospective attendees as soon as they are imposed, however by registering for the Conference you agree in advance to comply with any mitigation measures that are in place, and will not be able to request a refund if you are not willing to comply with those measures. As such, our normal fees and policies, including policies regarding cancellations and refunds for registrations, remain in place as outlined below. 

Conference Fees

NCEMSF annual conferences continue to be some of the best values in EMS education in the United States! NCEMSF strives to keep registration fees low so that as many people as possible can attend. Attendees save by registering and paying for the conference early. 

Early Registration: $115
December 1, 2025 through January 2, 2026

Regular Registration: $135
January 3, 2026 through February 13, 2026

Late Registration (and on-site): $150
February 14, 2026 through February 22, 2026

All payments must be made in US Dollars.

Conference registration fees do not include travel, parking, lodging and some meals. Lodging rates can be found on the main Conference webpage. 

Registration for any pre-Conference classes requires that you also be registered for the main Conference. Pre-Conference class fees are not included in the main Conference registration fees, and are listed separately on the Pre-Conference Classes page. Token Codes cannot be applied to Pre-Conference classes, but group payment may be made using either the check/money order or purchase order options as described below.

The EMS Skills Classic involves an additional fee (per team). Those fees are dependent upon the time the sign-up process is completed, as detailed on the Skills Classic page. Token Codes cannot be applied to the Skills Classic, and all fees must be paid by credit card only. 

Payment Terms

All conference registrants must register individually online through the NCEMSF website. If a registrant has not attended an NCEMSF Conference previously, or is not already an NCEMSF member, they will need to create a website account and provide information for their membership profile. If you have previously attended an NCEMSF conference, you have an NCEMSF profile and can update it by clicking here.

Institutional Vendor Registration Systems

In general, NCEMSF does not register as a vendor in the payment systems of schools or other organizations who wish to pay for Conference attendance. This process is overly burdensome on NCEMSF's all volunteer staff and sometimes cannot be accomplished within the timeframes available for Conference registration. Groups looking to pay for Conference registrations should consult their institutional purchasing policies for alternative methods, such as travel payments, purchasing card payments, or one-time check payments. 

NCEMSF has no objection to requests for verification of NCEMSF's organizational status for the purpose of processing payments. Information normally needed for these requests can be found at our Tax Forms page.

In the event that an organization cannot pay NCEMSF without NCEMSF registering as a vendor, then NCEMSF will assess an additional $100 fee which must be paid prior to submitting orders for Conference registrations or token codes for payment. This fee is non-refundable, and will apply for each year NCEMSF is asked to create or update a vendor profile. 

Individual Payment

All individual conference registrants must select a payment method. The methods available to individuals are as follows:

• Credit card (processed through PayPal).
  • Please note that some institutional purchasing cards do not work with PayPal.
  • Please also note that if you are using a parent's credit card, you should forward them a copy of the receipt so they do not dispute the charge.
• Check or money order made out to NCEMSF.
  • Checks and money orders must be received within fourteen days of registration or your registration will be automatically cancelled. The exception to this deadline are registrations that occur less than two weeks before the start of the Conference; all checks and money orders must be received by the Wednesday prior to the start of the Conference.
  • In addition, all registration period dates are "pay by" dates, so if your payment is received during the subsequent registration period, you must also pay the difference to be marked as paid.
  • If your registration is cancelled due to late payment or non-payment, you must re-register at the prevailing rate.
  • For individual registrations, the check should only cover the amount for the single registrant (we do not allow a single check for multiple individual registrations, except as described below in the Group Payment section).
• Token code.
  • This is a code provided by your squad administrator that will reset your registration balance to zero.
  • You must still complete the "payment" process on the site to finalize your registration, even though the total due will be zero after entering the token code. This is necessary to finalize your registration. 
  • Token codes only apply to the registration fee for the main Conference. Any fees for pre-Conference classes or the Skills Classic sign-up must be paid via a different method. 

Institutional Purchase Orders are not available for attendees registering and paying individually for their Conference registration. 

Group Payment

Although all attendees must register individually, it is possible to pay as a group. The methods available for group payment are as follows:

• Token codes.
  • Groups may purchase a fixed number of Conference registrations in advance, allowing you to lock in the lowest possible rate, even if you have not yet decided who your attendees will be. The group administrator will then receive a token code, which should be distributed to the group's attendees. This works like a gift certificate or coupon code, which can be used by individuals in your group to set their registration balance to zero.
  • Token codes can be used during any registration period, allowing groups to buy tokens at a lower early rate, and use them in a later registration period. 
  • Tokens are non-refundable and expire at the end of the Conference. We will not, under any circumstances, refund unused tokens. In addition, tokens must be used prior to the Conference, or their value is forfeited. Please do not purchase more tokens than you think you will need.
  • Tokens may be paid for via credit card (processed through PayPal), check, money order, or Institutional Purchase Order. For credit card orders on institutional purchasing cards, please check with your institution's finance department to ensure the card can be used with PayPal and that there are not purchase limits that would prevent payment. For details on the other payment options, see the subsequent bullets.
  • All individuals attending the Conference must still register individually; they will enter the group's Token Code during their registration in lieu of payment. 
    
  • Token codes may not be used for pre-Conference classes, which have a separate fee. 
• Check or money order made out to NCEMSF.
  • You may pay for tokens or Pre-Conference Class fees via check or money order.
  • Checks and money orders must be made out to NCEMSF.
  • In your mailed correspondence to NCEMSF, please include the order number and/or name(s) of Pre-Conference class registrant(s) for which the check/money order applies. When paying for multiple individuals, include all individuals' names.
  • Checks and money orders must be received within fourteen days of registration or the corresponding order(s) will be automatically cancelled. The exception to this deadline are registrations that occur less than two weeks before the start of the Conference; all checks and money orders must be received by the Wednesday prior to the start of the Conference.

  • You cannot use a check to pay for multiple individual Conference registrations. The check should be applied to a Token code order, and the individuals should use the Token Code to reigster themselves. 
• Institutional Purchase Order. 
  • You may pay for tokens or Pre-Conference Class fees via a purchase order.
  • Only valid purchase orders will be accepted. In order to be valid, a purchase order must contain, at a minimum, a purchase order number, a listing of what the purchase order is for, and all required signatures. 
  • Many institutions require that the organization being paid via purchase order (in this case, NCEMSF), be in their "vendor" system. As part of that process, you may need to provide your school with NCEMSF's Tax and Financial documents. 
  • In your correspondence to NCEMSF, please include the order number and/or name(s) of Pre-Conference class registrant(s) for which the purchase order applies. When paying for multiple individuals, be sure to include all individuals' names. 
  • NCEMSF must receive a copy of the PO via email, fax, or postal mail within two weeks of the order or that order will be automatically cancelled. The exception to this deadline are registrations that occur less than two weeks before the start of the Conference; all payment and mailed correspondence must be received by the Wednesday prior to the start of the Conference. 
  • In addition, all POs must be paid in full by the start of the Conference. 
  • If your order is cancelled due to the purchase order not being received within fourteen days, you must re-order at the prevailing rate.
  • You cannot use a Purchase Order to pay for multiple individual Conference registrations. The check should be applied to a Token code order, and the individuals should use the Token Code to reigster themselves. 

For groups paying via purchase order, money order, or check, you can also pay your $25 annual NCEMSF dues at the same time. Please specify this on any correspondence with NCEMSF, and be sure to click the "My Membership" link under the Membership menu to start the renewal process (specifying check, money order, or purchase order as the payment method). To pay dues via Credit Card, please click the "My Membership" link under the Membership menu to renew online (unlike checks, money orders, and purchase orders, you must pay your $25 via credit card as a separate transaction). 

Remember, all dates are "pay by" dates. All accounts must be paid in full by the time of on-site conference check-in for individuals to be permitted admittance. Any mailed correspondence or mailed payment must be received by the Wednesday prior to the start of the Conference. Please send checks or money orders payable to NCEMSF to:

We strongly encourage both individuals and groups to settle all Conference accounts prior to arrival at the Conference. In the unlikely event that you must pay on-site, we prefer check or money order. Credit cards will be accepted, but you must be sure that, if using an institutional purchasing card, the transaction will be allowed. If the card is rejected, we must have payment via an alternative method in order for those with outstanding balances to be allowed to attend the Conference. 

Cancellations and Refunds

Refunds are only issued for certain payment/order types, and only issued on or before January 16 except as noted below. 

A full refund (minus any credit card processing fees incurred by the Foundation, if applicable) will be issued for any individual who registers and pays for the conference via credit card, check, money order, or purchase order and, for whatever reason, cancels their Conference registration on or before January 16.

A full or partial refund for group registrations paid for via check, money order, or purchase order will be issued if the Conference registration(s) is/are cancelled on or before January 16. 

Token orders are non-refundable, even if unused tokens remain at the conclusion of the Conference. Pre-Conference Classes are non-refundable.

In most cases, refunds will not be given after January 16. However, if you are unable to attend for any reason, you may substitute another individual at no additional cost. 

If an individual who paid for their registration with a token is unable to attend, you may substitute another individual in that person's place at no additional cost. Because tokens may be used during any registration period, pricing differences do not apply. 

If someone registered for a pre-Conference class is unable to attend, you may substitute another individual in that person's place (in the same class) at no additional cost.

Please note: a conference registration or pre-Conference class registration for which payment is not received by NCEMSF within two (2) weeks of registration will be automatically canceled. This includes registrations that are to be paid with a university PO – the PO must be received within two weeks and payment in full for POs prior to the start of the conference. If a registration is cancelled due to lack of payment, the registrant will have to re-register for the conference at the then-prevailing rate, which may be higher than the original registration.

Skills Classic sign-up fees may be refunded through the Friday three weeks before the start of the Conference. 

Attendee Policies

Additional general conference policies exist to ensure a safe and enjoyable conference experience for all attendees. Each attendee will be required to sign a copy of these policies upon individually checking in at the conference (photo ID is required upon check-in; there is no group check-in). A copy of these Policies are available for review.

Accessibility

Registrants may request accommodations to facilitate their full participation at the NCEMSF annual conference. NCEMSF will make every effort to provide reasonable accommodations to attendees. The NCEMSF Conference remains one of the most affordable EMS conferences in the United States. The registration prices for this year are as follows:

Conference registrations can be paid individually or you can use Token codes to pay as a group. NCEMSF accepts credit card/purchasing card payment via PayPal, as well as checks (personal or institutional) and institutional purchase orders. Please note that NCEMSF will not honor requests that we register ourselves in any institution's vendor systems without charging a separate administrative fee. 

For groups who have never attended an NCEMSF Conference, groups that were regular attendees in the past but have not attended in the last several years, or groups experiencing financial hardship, NCEMSF offers a Conference Scholarship Program/New Group Initiative. The deadline for this program was January 16, 2026. Applicants will be notified by NCEMSF of the decision on their application after the program closes. 

Information on booking hotel rooms at NCEMSF's special Conference rate can be found below. 

Conference Schedule and Program

The 2026 NCEMSF Conference will run from Friday, February 20, 2026 through Sunday, February 22, 2026. The Conference includes:

• Pre-Conference Workshops (Friday morning and/or afternoon)
• Fourteen Workshop Sessions (Friday early evening, all day Saturday, and Sunday morning through early Sunday afternoon)
• Two Plenary Sessions
• Academic Poster Session
• Hands-On Skills Labs

To get the most out of the Conference experience, we recommend arriving in the morning or afternoon on Friday, and staying through early evening on Sunday. 

During each Workshop Sessions, multiple lecture options will be available. Plenary sessions are a single session held in a large ballroom. Lightning talks will be offered at various times throughout the weekend, overlapping with scheduled workshop sessions.

Also add the 2026 Conference App to your mobile device. The app will be updated throughout the weekend with any changes to the scheduled programming. 

NCEMSF's Conference programs are all electronic. An overview of the workshop session times and a facility map will be available as a hard copy at check-in, but no printed programs will be available. 

Stryker EMS Skills Classic

The Stryker EMS Skills Classic is an annual event allowing Collegiate EMS providers to showcase their patient care, teamwork, and problem-solving abilities. Teams of up to eight individuals from the same school complete in a variety of scenarios at either the ALS or BLS level. The Skills Classic requires an additional fee per team.

Activities

Pre-Conference Workshops and Tours

NCEMSF is pleased to continue its tradition of offering pre-Conference workshops as well as tours. Separate registration will be required, and registration is limited to those who have already registered and paid for the main Conference.  

Alumni Mixer and Social

Each year, NCEMSF hosts an Alumni Mixer and Social on the evening of the Saturday of the Conference weekend, immediately after the conclusion of the Awards Ceremony. Alumni Conference Attendees along with Conference Presenters and Exhibitors are invited to attend this free event. Refreshments and light hors-d'oeuvres will be provided. Tickets to this event are distributed at Conference check-in to eligible attendees. 

Other Conference Activities

NCEMSF Conferences are about more than just learning. They are also an opportunity for networking and socialization with other Collegiate EMS Providers and Leaders. Activities will include a Welcome Social on Friday evening, Group Introductions and Meet-and-Greet on Saturday morning event (which will also include recognition for squad anniversaries and CPR saves), and a Saturday evening social event. All of these activities are included in your Conference registration fee! 

Continuing from last year's inaugural offering, the NCEMSF Best Practice session will provide your group with an opportunity to showcase your squad's unique and innovative activities. Selected presenters will have ten minutes to describe their program and answer questions from a panel of experts, who will evaluate the programs and select 1st, 2nd, and 3rd place best practice winners. There are also multiple opportunities to celebrate the achievements of your squad and its members. NCEMSF's Awards Program has recognition opportunities for individuals, groups, and activities. MERIT Recognition is a self-evaluative program designed to recognize groups that meet best practices in EMS administration and management. HEARTSafe Campus is a recognition program for groups and schools that have improved the safety of their campuses through CPR education and outreach. EMS Ready Campus is a self-evaluative program designed to promote integration between Collegiate EMS and Emergency Management. NCEMSF also issues recognition certificates for collegiate EMS providers who participated in CPR Saves. More details about each can be found by following the appropriate links. The deadline for receipt of all recognition program nominations and supporting materials will be January 30, 2026.

While at the Conference, take some time to experience Arlington and our nation's capital! There are a variety of local events and attractions to check out in Arlington and Washington, DC. More information on local activities will be posted at a later date.

Submit Presentations and Academic Posters

Workshop Session Presentations

Presenter submissions are now available.

At this time, NCEMSF has received a sufficient number of all submission types except for JCEMS Posters. No additional theater-style lectures are needed.

Presenters who have submitted abstracts in the past should use their existing NCEMSF account; This email address is being protected from spambots. Presenters will receive further details on logistics and timing of their lectures in February. 

Vomacka Student Speaker Competition 

Current students are also welcome to enter the Vomacka Student Speaker Competition. This symposium is a chance for student lecturers to showcase their presentation skills and earn bragging rights for their collegiate EMS organization. The competition is judged on a speaker's ability to deliver a relevant high-quality seminar to their peers. Points are awarded based on strength of the submitted abstract, quality of the delivered presentation, and audiovisual materials. More information and submission directions are on our Vomacka page. 

All Vomacka submissions were due Friday, January 16, 2026. NCEMSF will contact those who submitted with additional information. 

Academic Poster Session

NCEMSF is pleased to partner with the Journal of Collegiate EMS on our annual Academic Poster Session, featuring original research and case studies in program development/evaluation. Poster authors need not be present at the Conference to be selected, but those who are will have the chance to show their poster in person. 

Posters should be submitted through the online abstract system. Please be sure to select Poster Session on the Submission Type to ensure the correct fields are displayed. 

All poster submissions will be due by the extended deadline of Friday, January 30, 2026. JCEMS will contact those who submitted with additional information. 

Conference Logistics

Hotel

The 2026 Conference will be held at the DoubleTree by Hilton Washington, DC-Crystal City, 300 Army Navy Dr, Arlington, VA 22202. Located just minutes from Washington National Airport (DCA), it is ideally situated near tourist attractions, restaurants, and shopping opportunities.

Our room block at the host hotel, the DoubleTree, has hovered near or at capacity for the last several days. If you have not yet secured your room, please first check the DoubleTree using the hotel's online booking portal to see if rooms remain available at the NCEMSF rate. If the DoubleTree shows no availability or if current room inventory exceeds your needs and/or budget, please complete our overflow block interest form and we will assist you in finding a nearby room at a comparable rate. We encourage you not to book outside of NCEMSF and to let us help you obtain lodging. Ideally, all attendees will stay at, or very near, the host facility to gain the most from the Conference experience. Note that hotels may set maximum occupancies per room, and that couches and roll-away beds may not be offered due to availability and/or fire code issues.

Ground Transportation

Airport Shuttle

The DoubleTree offers a free airport shuttle to/from DCA (National) that operates daily from 5am to midnight ET. See the hotel website for additional details or use the hotel's online shuttle tracker. Please note that the hotel does not provide shuttle service to/from IAD (Dulles). 

Public Transit

The hotel is located less than a mile from three WMATA Blue/Yellow Line stops: Pentagon City, Pentagon, and Crystal City. Those flying in from Dulles (IAD) can take the Silver Line to Rosslyn and transfer to the Blue Line to get to the hotel. 

Update (Jan 12, 2026): WMATA has announced plans for construction at the Crystal City station beginning in mid-February. This will result in a closure of the Crystal City station on Saturday, February 21 and Sunday, February 22. In addition, there will be no train service between National Airport and Pentagon City stations on those dates. Bus shuttle service will be in place during that time. Those wishing to travel into Washington, DC on Saturday or Sunday (including those trying to travel to Dulles Airport) should plan to board the Yellow or Blue lines at the Pentagon City station (use the Blue line to access the Silver Line, which serves Dulles). Those attempting to access National Airport or destinations to the south of Arlington on those days should use the shuttle bus service at Pentagon City and/or Crystal City Stations to reach National Airport station, where a southbound trip via rail can be resumed. Current closure details can be viewed at the WMATA website, and we will update this page with any additional changes as they are announced. 

Taxis and Rideshares

Various private airport shuttle services and shared-ride vans are also available, as are taxis, as described on the DCA and IAD websites. 

Parking

Self-parking will be available in the hotel garage at the discounted rate of $29 per vehicle. The garage has a maximum clearance of 6'3" and may not be able to accommodate longer vehicles (for example, 15-passenger vans). If needed, you may utilize various online parking search/reservation systems to identify alternate parking locations. There is also limited street parking (metered) along Army Navy Drive adjacent to the hotel. 

Meals

The NCEMSF Conference does not provide formal meals, but several activities do provide light snacks. Menus vary from year-to-year, but typically include the following:

• Friday Evening Welcome Social and Mixer: Lemonade and/or fruit punch and chips or hors d'oeuvres. 
• Saturday Morning Continental Breakfast: Coffee and tea, plus fruit, bagels, and/or muffins. 
• Saturday Afternoon Snack Break: Lemonade and/or fruit punch and cookies. 
• Sunday Morning Continental Breakfast: Coffee and tea, plus fruit, bagels, and/or muffins. 

Those desiring a full breakfast should plan to eat on their own, and no lunches or dinners will be provided. There is an on-site hotel restaurant plus a variety of other eateries within walking distance of the hotel. 

For guests of the Alumni Social on Saturday evening, hors d'oeuvres and refreshments will be provided.

NCEMSF strives to provide food and beverage choices for a range of preferences. However, menu selections are based on available options from the hotel's catering service, and as such, we may not be able to meet all potential dietary needs. Those with specific restrictions should plan to provide their own food throughout the weekend.

NCEMSF offers multiple avenues for companies, organizations, and educational institutions to support the NCEMSF Conference and the Foundation's work as a whole.

On Saturday, February 21, 2026, a exhibitor and career fair will be held in a prominent area of the hotel. Booths are available to companies marketing products to EMTs and EMS agencies, as well as to medical schools and others looking to recruit. Most of our attendees are current undergraduate students who also serve as EMTs and Paramedics on their college campuses. Many of them hold leadership positions with the groups they represent and are responsible for agency purchases. After graduation, many attendees either continue in EMS, go on to medical school, or complete post-graduate education. 

We also offer the ability for sponsorship of specific Conference activities, assisting with one of our ongoing programs, or a named lecture track. The 33rd Annual Conference was hosted in Arlington, VA at the DoubleTree by Hilton Washington, DC-Crystal City Hotel.

Over 1200 representatives from more than 100 colleges and universities attended the conference.
